Description

The OER Data Collection process gathers course, student, and outcome data to evaluate the impact of Open Educational Resources (OER) on student success and affordability. By analyzing enrollment, grades, withdrawal rates, resource costs, and demographic trends across participating institutions, this initiative provides valuable insights into the effectiveness of OER adoption and its role in improving access to higher education while reducing textbook expenses.

Data Request Overview

To fully evaluate the efficacy of courses utilizing OER resources, data will be requested that will allow for the computation of the measures outlined in Tables 11 and 12 in the OER Proposal. Specifically, the following measures will need to be computed:

  • Overall enrollment of participating courses.
  • Average grade received.
  • Withdraw rate.
  • Resource cost reduction.
  • Each of these measures for different cohorts of students (ex. Pell recipients, minority, etc.)

In order to compute these measures, we will need to collect data that includes course information, outcomes for each registered student, as well as some demographic information for each registered student. This data will be requested in the form of a csv document in which each row represents a student registered in the participating course and contains information related to the course, the student, and the outcome.

In addition to data being collected for participating courses during the timeframe of the grant, we are requesting that data also be collected for the 2022 and 2023 academic years to provide enough data to compare before and after the introduction of OER resources. In total, we are requesting data for the following terms: Fall 2022, Spring 2023, Fall 2023, Spring 2024, Fall 2024, Spring 2025, Fall 2025, and Spring 2026.

A detailed summary of the requested information can be found in the table at the end of this document.

Collection Method

To collect the data a secure, FERPA-compliant drop off location will be provided to each participating institution. The exact method has not been determined yet, but an example of a possible method would be a protected one-drive folder managed by UNM IT.

Subject/number code identifier for a course. Ex: ENGL 1110

If course codes have changed over the last couple terms, translate older codes to their most recent equivalent.

course_title

The title of the course. Ex: Composition I

instructor_id

Unique identifier for the instructor of the course

oer_status

Indicates to what extend the course used OER

  • F: fully OER
  • P: partial OER
  • N: not OER

resource_cost

The cost of the course’s learning materials paid by the student.

student_id

Unique identifier for a registered student.

term_taken

The academic period in which the term was taken.

Should be formatted as Fall/Spring followed by the year. Ex: Fall 2022

gender

The student’s gender

  • M: male
  • F: female
  • O: other

ethnicity

The ethnicity of the student.

  • African American
  • American Indian
  • Asian
  • Hispanic
  • White
  • Other

time_status

The time status of the student.

  • FT for Full Time
  • PT for Part Time

pell_recipient

Indicates if the student was a pell recipient in the term taken

  • Y for yes
  • N for no

lottery_recipient

Indicates if the student received lottery in the term taken

  • Y for yes
  • N for no

final_grade

The grade the student received.

  • A, B, C, D, F (+/-)
  • CR: Credit
  • W: withdraw / drop
